Loan Tracking
Rapid
Exhibitions lets you assign a status to track the progression of each
exhibit. It goes from the starting point, when the curator decides
to include a particular work within the exhibition, through the various
letters requesting a loan, all the way to the point where the owner
returns the completed loan agreement forms. At any stage you can use
the current loan status to produce reports and lists. For example,
you could create a list of works which a gallery has agreed to lend;
or a list of requested exhibits for which a reply has not yet been
received.
Consistent Data and Addresses
One
of the driving forces behind Rapid Exhibitions is the desire to ensure
that repetitive data, such as an address or an artist's name, need
only be entered into the system once. Subsequently, it can be selected
from the lists and the "auto-type" entry windows. Not only does this
avoid embarrassing mistakes, but it also ensures that your letters
and reports have a consistent look and feel.
Currency, Values and Exchange Rates
Rapid
Exhibitions stores the value of each object so that you can keep track
of the insurance values of your exhibition. UserID and Password security
options ensure that access to this information can be restricted.
Values can be entered in any currency, and Rapid can use exchange
rates to convert this to local currency.
Chase Lists
Rapid
always keeps a check on the state of your exhibition e.g. which
organisations have said yes; which loan forms are outstanding; which
transparencies have arrived. Chase lists are immediately available,
and easily updated at the push of a button.
Flexible Reports which link to Microsoft Word
Rapid
exports into both MS Word and Corel WordPerfect, to allow you to produce
sophisticated mail merges from within the Rapid system. Selecting
a document template on a Rapid screen will start up your word processor
and automatically set up the database links, so you don't have to
be a mail merge expert to generate sophisticated letters, reports
or labels.
Search and Query Tools
You
can search using any criteria: the title of a work, obviously, but
also medium, or special notes, bylines etc. Rapid can search either
within the current exhibition only, or across all the shows that you
have produced, so, for instance, it would be simple to find out how
many works by Turner an institution has lent you over the years.
Automatic Installation and De-installation Schedules
Rapid
allows you to enter the delivery and collection schedules for each
exhibit, meaning you can generate a schedule for the entire exhibition.
If a courier changes their arrival date you don't need to shuffle
through piles of paper: simply enter the new date into Rapid to generate
a new, accurate, schedule.
